Why SharePoint Lists?
Custom lists in SharePoint have become extremely popular.
They are a big reason why SharePoint has taken off and they are starting to replace the traditional Excel spreadsheet. They are a great way to store and share structured information. However, SharePoint doesn’t offer many options if you want to discuss some of that information with others. SharePoint Lists for Jive can help you do this!
What are the highlights?
Leverage what SharePoint does well (storing structured information) with what Jive does well (rich social interactions).
- View – Stay on top of important SharePoint information stored in lists from within Jive.
- Edit – Edit SharePoint data and create new items inside of Jive.
- Share – Start discussions with colleagues to solicit input as well as drive awareness.
- Send – Send direct messages to your colleagues about SharePoint info for specific questions and follow up.

Let’s say your department has a shared calendar in SharePoint…
Calendars are just another type of list. You can set up SharePoint Lists to show upcoming events in your dashboard. Perhaps in two weeks you have a departmental picnic and you want to start an discussion about who is going (or even more importantly, what people are wearing). You select the company picnic and click discuss, choose the Jive space or group where you want to start the discussion and the details of the picnic are inserted into the discussion. You can pull people into the discussion by mentioning them and you have all of the benefits of Jive discussions like ratings, comments, and participation in the activity feed.
What about setup?
Setup is incredibly easy. No footprint on SharePoint. Configure to your heart’s content.
There is a one time setup of SharePoint Lists and nothing installs on your SharePoint Server. Once this is done, you can add and configure SharePoint Lists. Via settings, you simply select the location, list and view that you want to see in Jive. You have the option to set different views for the dashboard vs. canvas view. See the FAQ at the bottom of the page for all the details on installing.
What are the high level requirements?
Support for both SharePoint 2010 and 2007. Plenty of list types and column types supported.
We support both SharePoint 2010 and SharePoint 2007, but not BPOS or Office 365 (at least not yet!). SharePoint Lists supports the following SharePoint List Types: Announcements, Calendars, Contact Lists, Generic Custom Lists, Issue Tracking Lists, Project Tasks, and Generic Task Lists. Wait, I thought that Jive already has integration with SharePoint?

There are two pricing models for SharePoint Lists:
- $1 USD per user/month or
- $5,000 USD per Jive community/year
As with other Jive Apps, you can try the app for the first month for free to make sure that it meets your needs.
SharePoint Lists is installed from the Jive App Marketplace. Please refer to Jive Marketplace help for more information on how to purchase and install apps to your Jive instance.
Once the app is installed, some administrative setup is required. In order for the List Item Viewer app to be able to access your SharePoint instance, a Jive administrator will need to set up an endpoint for Jive’s SharePoint service entry. In the service endpoint administration page, the following information must be provided:
- A unique, user-friendly name used to identify your SharePoint endpoint
- Authentication Style must be set to “HTTP Basic”
- The SharePoint instance’s URL
- The service entry tag must be: “jive:service://microsoft.com/sharepoint/api?version=1”
- The Jive users, or user groups, to which this endpoint should be accessible
Note that the Sharepoint instance must be externally accessible using the provided URL and accept HTTP Basic Authentication.
SharePoint Lists does not require any software to be installed on the SharePoint server. However, in order to ensure that it can access SharePoint content, the following must be set up:
- HTTP Basic Authentication must be enabled on the SharePoint server
- If the Jive users do not have their own SharePoint credentials, administrators must setup credentials for Jive. Note that SharePoint Lists will respect SharePoint user permissions; Jive app users will not be able to select lists or sites to which they do not have access

For SharePoint 2010:
- Navigate to the Home page of the SharePoint site
- Click Site Actions | View All Site Content
- At the top of the page, click Create
- Filter for only the list type
- Select one of the supported lists.
- To create your own view, select Create View on the ribbon under List Tools | List
For SharePoint 2007:
- Navigate to the Home page of the SharePoint site
- Click View All Site Content
- At the top of the page, click Create
- Select one of the supported lists.
- To create your own view, select Create View on the View drop-down list in the top right corner of a list.
*When creating views or using default views, keep in mind the column types supported.
*List names cannot have a “<” or “&”
Configuration
When the application is installed to a user’s dashboard for the first time, the application will display a configuration prompt. The prompt will bring up a dialog asking to confirm the app’s access to Jive profile information and access to your SharePoint endpoint, which should be displayed under the name given during the endpoint creation. When the user accepts, the application will attempt to access the SharePoint instance and prompt the user for their SharePoint user credentials.
Select a List
When the application loads for the first time, a message will prompt the user to select a SharePoint list and list view. The available lists of the current SharePoint site can be selected in the drop-down lists near the top of the interface. The application points to the root SharePoint site by default, and will thus display only the root site’s lists. To change the current SharePoint site, navigate to the pull down menu in the Jive application’s top bar, and click the “Your Settings” menu option. This will bring up a dialog box that allows users to point the application to another SharePoint site or sub-site. When the user has submitted the new setting, the list drop-down will load the new site’s lists.
When the user has submitted a choice, the application will refresh and display the list in a tabular format. The user’s list configuration will be saved to preferences and used in future sessions.
Note that the settings are configured independently for the dashboard and canvas modes. We recommend that users select a more detailed list view for canvas mode, in order to take advantage of the canvas’ larger interface size.
It is highly recommended that users set up additional SharePoint views for any lists they want to use with SharePoint Lists. Furthermore, users are able to select different SharePoint views for the Jive App Dashboard and Canvas Views. Since the Dashboard View is a smaller window, it is recommended that users create a simple SharePoint List View in SharePoint for the Dashboard View and a more detailed SharePoint List View for the full-page Canvas View.
Furthermore, in addition to customizing your views to follow the column type restrictions, it is recommended that you also consider the following guidelines.
- Maximum of 15 columns displayed while in canvas view. Additional columns will not be displayed.
- Maximum of 5 columns displayed while in dashboard mode. Additional columns will not be displayed.
- SharePoint list “Totals” are not displayed in the app.
- SharePoint “Folders” are not supported in the app. Items inside of folders will not appear. In order to show all of the items of a list that has folders, select “Show all items without folders” in the view settings in SharePoint.
- Only the standard view format in SharePoint is supported.

Not all list types in SharePoint are supported. Lists that are not supported will not be displayed in the drop down selector. Only the following types of SharePoint lists can be selected:
- Announcement Lists
- Calendar Lists
- Contact Lists
- Generic Custom Lists (including custom lists imported from Excel and lists created in datasheet view)
- Issue Tracking Lists
- Project Task and Generic Task Lists
Unsupported Column Types
These columns types can be found in several SharePoint list types, and can also be added to custom SharePoint lists. However, they are not supported in the app and will be hidden from view.
- Calculated
- External Data
- Managed Metadata
- Lookups (Note: This includes title fields that feature lookup functionality; this includes SharePoint’s default title field – see table below)
- Business Data (SharePoint 2007)
Unsupported Column Types by List
The following SharePoint list types are supported, but contain several unsupported columns. If any of these list types are used by the app, the following columns will be hidden from view:

For each column type, SharePoint has additional settings. Of these, the app supports the following:
- Maximum Number of Characters (Single Line of Text)
- Show as percentage (Number)
- Date and Time Format (Date and Time)
- Display Choices With: Radio, Drop-Down, Check-box (Choice)
- Allow Multiple Selections (Person or Group)
- Min and Max (Number and Currency)
- Default Value (Multiple Column Types – except Date and Time columns)
- Require that this column contains information (Multiple Column Types)
- Enforce unique values (Multiple Column Types)
- Rich Text (Multiple Lines of Text)
- ‘Fill-In’ Choices
- Number of Decimal Places (Number & Currency)
- Currency Format
- “Choose From:” (Person/Group)
- “Allow Selection of” (Person/Group)
- Calculated Values for ‘Default Values’ in the column settings.
Sorting
To sort a list by a column, click the column header of the column you want to sort.
- The first click sorts the column in ascending order.
- Only one column can be sorted at a time
- Unsupported Column Types: Multiple Lines of Text, Choice (Check-boxes), Person or Group (Multiple Values)
Filtering
To filter a column of a list, click the funnel icon on the header of the column.
- Filters can be removed and added.
- Multiple columns can be filtered at the same time.
- Unsupported Column Types: Multiple Lines of Text, Choice (Check-boxes), Person or Group (Multiple Values)
- The app may become unstable after being left open for a long time; refreshing the browser window should resolve this problem.
- Groups are not supported in the app.
- Some characters can cause unexpected errors… try to avoid using & <
- Only the first 1000 items and 15 columns (Canvas view) are loaded into the app.
- For small lists (typically ones that have zero items), sometimes the drop-down for selecting a list will ‘drop-up’.
- Items that have columns that are required, but that are out of view or hidden by the app, will save with blank values for those ‘required’ columns.
